Job Summary The Operations Assistant plays a critical role in supporting the Operations Manager to ensure smooth execution of cross-department workflows, process management, and communication alignment across all teams. This position requires exceptional organization, attention to detail, and proactive communication to help maintain efficiency and operational consistency across departments. Key Responsibilities Channels and Tools Management Grant and manage access to required tools for new team members. Customer Service: Telegra, Slack, WooCommerce. Marketing: Tools relevant to department joining. Regularly review all communication channels to ensure active engagement and timely responses. Follow up or “bump” messages when replies are pending to maintain workflow continuity. WooCommerce Subscriptions and Orders Generate and distribute affiliate coupon codes as needed. Monitor order statuses and report any potential issues or processing delays. Pull, organize, and maintain order information to support tracking and resolution of issues. Expenses and Payment Requests Monitor and track payment requests, ensuring timely processing and follow-through. Maintain and update the expense tracking spreadsheet with current payment status. Save, organize, and file invoices and receipts for reference and audit compliance. Project Management Support Coordinate with department heads weekly to gather and update key performance metrics. Follow up with departments to ensure tasks are current, progressing, and on schedule. Schedule and coordinate meetings, capture action items, and translate them into ClickUp tasks. Maintain organized project files and folders, ensuring accessibility and version control. Prepare and send communications or announcements to internal stakeholders with all relevant information. Standard Operating Procedures (SOPs) Ensure that all departmental SOPs are uploaded and properly stored in the designated system. Conduct quarterly reviews of all SOPs to ensure accuracy, alignment, and relevance. Email Management Label and organize all incoming emails under the appropriate accounts: Monitor shared inboxes and ensure important emails are escalated, delegated, or resolved promptly. Qualifications Required Proven experience in administrative or operational support, preferably in a remote or cross-departmental setting. Familiarity with tools such as Slack, ClickUp, WooCommerce, and Google Workspace. Strong organizational skills with the ability to manage multiple priorities simultaneously. Excellent written and verbal communication skills. Detail-oriented with a proactive and problem-solving mindset. Ability to handle sensitive information with discretion.
